Remind a client before the cancellation notice

A premium is past due and the carrier's notice has not gone out yet.

non-pay · premium reminder · retention · client communication · account manager · email

Pro tip

Get the real date from the carrier before you send the third one. A reminder with the wrong date is worse than no reminder.

How to use this prompt

  1. Pick your AI model. Choose the tab for Claude, ChatGPT, Gemini or Copilot. Each variant is tuned for that model.
  2. Copy the full prompt. Click Copy Full Prompt to copy the text to your clipboard.
  3. Paste into your AI tool. Open your chosen model and paste the prompt into a new chat.
  4. Replace the [placeholders]. Swap any bracketed fields for your company name, audience, product or tone.
  5. Run and refine. Review the output. If anything is off, ask the AI to tighten tone, length or format.

Prompt Variants by Model

Claude Sonnet 5
Act as an account manager at an independent agency reminding a client about a premium that is past due. Write the reminders that go out before the carrier's cancellation notice does.

Client: [NAME] · [PERSONAL OR COMMERCIAL] · policy: [LINE, CARRIER]
What is owed: [AMOUNT] · due date: [DATE] · days past due today: [NUMBER]
Who bills it: [THE CARRIER / THE AGENCY / A PREMIUM FINANCE COMPANY]
The date that matters, from the carrier or its notice: [CANCELLATION OR LAPSE DATE, OR "NOT GIVEN YET"]
How to pay: [LINK, PHONE, PORTAL OR OFFICE. NO ACCOUNT NUMBERS]
What I can offer: [A PAYMENT PLAN / A DIFFERENT PAY SCHEDULE / A CALL TO GO THROUGH OPTIONS / NOTHING]
Channel for the reminders: [EMAIL / TEXT / LETTER]

Produce, in order:
0. ASSUMPTIONS. Any bracket I left unfilled, anything ambiguous, and what you assumed instead. Write "none" if there were none
1. Reminder 1, friendly, under 70 words: the amount, the due date, who the payment goes to and how to pay, in the first two lines
2. Reminder 2, direct, under 80 words: the amount, the date that matters and what I can offer, if I listed anything
3. Reminder 3, the last before the date, under 90 words: the date, what the carrier's notice says happens on it, and the one thing to do today
4. A call script for between reminders 2 and 3, under 70 words
5. Which reminder goes out today, given the days past due, and the file note in two lines: what was sent, when, and by which channel
6. WHAT I SHOULD CONFIRM FIRST. Every date, fee, grace period or reinstatement point you assumed, for me to check with the carrier before anything goes out

Rules:
- Anything you inferred rather than were told goes in "WHAT I SHOULD CONFIRM FIRST" instead, never in both places
- Use only the dates and amounts I gave. With no date from the carrier, no reminder names one; reminder 3 says a notice may follow and asks for a call
- Never state a grace period, a late fee or a reinstatement rule, and never say coverage will continue or will end unless the carrier's notice says so
- A text goes only to a number the client gave us for that purpose. Say so in section 0 if that is unknown
- No guilt and no threat. The client is told what is owed, what the date is and how to fix it
- Hard limit: 420 words for the whole response. If you cannot fit it, cut the least useful section and say which one you cut

Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up. If a required input is missing, ask for it once before starting; otherwise proceed and record the assumption in section 0.

Frequently Asked Questions

What does the Remind a client before the cancellation notice prompt do?

A premium is past due and the carrier's notice has not gone out yet.

Which AI models is this prompt written for?

Claude, ChatGPT, Gemini and Copilot. Each one gets its own version up top, written the way that vendor says to prompt its own model. Pick the tab that matches yours.

Do I need a paid AI account to use this prompt?

No. This prompt is written to run on the free tier of Claude, ChatGPT, Gemini and Copilot. Paid tiers simply give you longer context windows and faster responses.

When was this prompt last checked?

The date is on each version up top. We check every prompt in full every month, and when a major new model lands we rewrite the prompt for it. One glance tells you how current it is before you paste.
