Sort the next 90 days of renewals
Monday morning, before the renewals start working you.
renewal · retention · book of business · account manager · weekly review
Export the list from your management system and paste it as it is. If your AI policy says no client names, swap them for account numbers first.

Prompt Variants by Model
Act as an account manager at an independent agency going through the book before the week starts. Sort the renewals below and tell me what to do on each this week.
Renewals in the next 90 days, one account per line:
<renewal_list>
[PASTE: CLIENT, LINE, CARRIER, EXPIRATION DATE, CURRENT PREMIUM, RENEWAL OFFER IF RECEIVED, CLAIMS THIS TERM, LAST CONTACT, ANY NOTE]
</renewal_list>
Today's date: [DATE]
What makes an account a worry for us: [e.g. A LARGE INCREASE, A CLAIM THIS TERM, A CARRIER PULLING BACK, NO CONTACT IN MONTHS, A CLIENT WHO SHOPS EVERY YEAR]
How early we start a renewal: [DAYS BEFORE EXPIRATION, PERSONAL AND COMMERCIAL, OR "NO RULE"]
Who works renewals: [NAMES OR ROLES]
Produce, in order:
0. ASSUMPTIONS. Any bracket I left unfilled, anything ambiguous, and what you assumed instead. Write "none" if there were none
1. The table, soonest expiration first: client · line · expiration · days left · status · the reason, taken from the list · the one action this week, or "none this week" · who does it. Status is one of four:
- ACT THIS WEEK: one of my worries applies, or the account is inside our start window with no contact on the list
- WATCH: nothing to do this week, but something needs a look before expiration
- ON TRACK: contact is made or the offer is in, and no worry applies
- CANNOT TELL: the list lacks what is needed to judge; name the missing piece
2. The five accounts to call first, or all of them if there are fewer, with the first sentence of each call
3. Counts: accounts in each status, and accounts expiring in the next 30 days with no renewal offer on the list
4. WHAT I SHOULD CONFIRM FIRST. Every reading of the list you were not sure of, and every account where a date, a premium or a contact was missing
Rules:
- Anything you inferred rather than were told goes in "WHAT I SHOULD CONFIRM FIRST" instead, never in both places
- Every status rests on the list or on the worries I named. Where neither settles it, the status is CANNOT TELL, not a guess
- With "no rule" on timing, the start window is not used. Say so in section 0
- Compute days left from the dates given. Do not estimate them
- No prediction of a renewal premium, a carrier decision or whether a client will leave
- No coverage recommendation here. That belongs in the review with the client
- Hard limit: 300 words outside the table. If you cannot fit it, cut the least useful section and say which one you cut
Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up. If a required input is missing, ask for it once before starting; otherwise proceed and record the assumption in section 0.Notes: R54 build; insurance set. Tuned to vendor prompting guidance.
Frequently Asked Questions
What does the Sort the next 90 days of renewals prompt do?
Monday morning, before the renewals start working you.
Which AI models is this prompt written for?
Claude, ChatGPT, Gemini and Copilot. Each one gets its own version up top, written the way that vendor says to prompt its own model. Pick the tab that matches yours.
Do I need a paid AI account to use this prompt?
No. This prompt is written to run on the free tier of Claude, ChatGPT, Gemini and Copilot. Paid tiers simply give you longer context windows and faster responses.
Can I customize this prompt for my business?
Yes. Any text inside square brackets is a placeholder you replace with your own business details, such as company name, audience, product or tone. You can also ask the AI to adjust format, length or style after the first output.
When was this prompt last checked?
The date is on each version up top. We check every prompt in full every month, and when a major new model lands we rewrite the prompt for it. One glance tells you how current it is before you paste.
