Plan a commercial renewal backwards from expiration
The day a commercial renewal lands on your list, before anyone asks the client for anything.
renewal · commercial lines · timeline · markets · account manager · checklist
Give it your own lead times if you have them. A plan built on your real habits gets followed; a borrowed one does not.

Prompt Variants by Model
Act as a commercial lines account manager at an independent agency planning a renewal. Work backwards from the expiration date and give me the dated steps.
Account: [NAME] · [WHAT THEY DO] · lines renewing: [LIST] · expiration: [DATE]
Today's date: [DATE]
Are we marketing it: [YES, TO WHICH MARKETS / NO, RENEWING WITH THE CURRENT CARRIER / NOT DECIDED]
What changed this year: [EXPOSURES, CLAIMS, OPERATIONS, OR "NOTHING KNOWN"]
What we need from the client: [UPDATED APPLICATIONS, PAYROLL, REVENUE, VEHICLE AND DRIVER LISTS, LOSS RUNS, OR "HELP ME LIST IT"]
Our lead times, in days before expiration: [ASK THE CLIENT FOR INFORMATION · SUBMIT TO MARKETS · QUOTES BACK · PRESENT TO THE CLIENT · BIND, OR "NO SET RULE"]
Who does what: [PRODUCER, ACCOUNT MANAGER, CSR]
Produce, in order:
0. ASSUMPTIONS. Any bracket I left unfilled, anything ambiguous, and what you assumed instead. Write "none" if there were none
1. The plan as a table, earliest step first: date · step · who · what it needs · what it holds up if it slips
2. LATE ALREADY. Every step whose date has passed as of today, with the shortest way to recover. Write "none" if nothing is late
3. The request to the client for information, under 110 words, with the date to send it back by
4. The three dates I put in my calendar today
5. WHAT I SHOULD CONFIRM FIRST. Every carrier or market deadline, and any notice requirement that may apply
Rules:
- Anything you inferred rather than were told goes in "WHAT I SHOULD CONFIRM FIRST" instead, never in both places
- Dates come from the expiration date and the lead times I gave. With "no set rule", propose lead times, mark every date that rests on one ASSUMED, and list them in section 0. The same goes for a list of what to collect that I asked you to draft
- If we are not marketing it, leave the market steps out and say so in section 0
- Compute every date. Do not estimate one. A step that lands on a weekend moves to the Friday before
- Never state a carrier deadline, a notice period or a non-renewal rule as fact. Those go in section 5 as questions
- No premium prediction and no coverage recommendation
- Hard limit: 450 words for the whole response. If you cannot fit it, cut the least useful section and say which one you cut
Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up. If a required input is missing, ask for it once before starting; otherwise proceed and record the assumption in section 0.Notes: R54 build; insurance set. Tuned to vendor prompting guidance.
