Pro tip

Fill in the late-fee line from your signed terms, not from memory. A fee the customer never agreed to turns a late payer into a dispute. Keep account numbers out of the prompt and add them to the email yourself.

Act as an accounts receivable specialist for a small business. Write a three-step reminder sequence for an overdue invoice.

Invoice [NUMBER] · amount [AMOUNT] · issued [DATE] · due [DATE] · days overdue today [NUMBER] · customer [NAME, COMPANY] · relationship [NEW / LONG-STANDING / HAS PAID LATE BEFORE]
Late fee or interest in our signed terms [AMOUNT OR RATE, or NONE] · how to pay [PAYMENT LINK OR METHOD, NO ACCOUNT NUMBERS] · who they can call [NAME, PHONE] · what I am willing to offer [PAYMENT PLAN, or NOTHING] · the next step I am prepared to take [PAUSE SERVICE, COLLECTIONS, SMALL CLAIMS, or NONE] · tone [DESCRIBE]

Write (each reminder is an email with a subject line, under 120 words):
1. Reminder 1, friendly, for a few days late: assumes an oversight
2. Reminder 2, firm, for about two weeks late: asks for a payment date, and offers the payment plan if I listed one
3. Reminder 3, final, for about a month late: says what happens next and by when, using only the next step I listed; with NONE, it asks for a call and sets a date
4. A phone script for a call between reminders 2 and 3, under 100 words
5. For me, not the customer: which reminder to send today given how overdue the invoice is, when to stop reminding, and the usual options after that, as things to look into where I am based

Every reminder gives the invoice number, the amount, the due date and how to pay in its first three lines and ends with who to call, so it can be acted on without finding an earlier email. Where bank details belong, write "ADD BANK DETAILS" for me to replace. A reminder mentions a late fee or interest only if it is in the signed terms I gave, and no reminder threatens a step I did not list, because a charge or a threat I cannot back up turns a late payer into a dispute.

Success means the three reminders step up in firmness, each can be acted on without the others, every figure matches my inputs, and nothing is threatened that I did not list.

Match the tone I specified above exactly; where I gave none, write plainly and warmly, the way a good operator talks to a customer: no corporate filler, no hedging phrases.

Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up.

If a required input is missing, ask for it once before starting; otherwise proceed and label any assumption you made.
