Pro tip

List the tools your team already uses, including the free ones nobody approved. A policy that ignores what people really use will be ignored in turn.

How to use this prompt

  1. Pick your AI model. Choose the tab for Claude, ChatGPT, Gemini or Copilot. Each variant is tuned for that model.
  2. Copy the full prompt. Click Copy Full Prompt to copy the text to your clipboard.
  3. Paste into your AI tool. Open your chosen model and paste the prompt into a new chat.
  4. Replace the [placeholders]. Swap any bracketed fields for your company name, audience, product or tone.
  5. Run and refine. Review the output. If anything is off, ask the AI to tighten tone, length or format.

Act as an operations lead for a small business. Write a one-page AI usage policy for staff: the policy itself, not an essay about AI.

Business [NAME, WHAT WE DO] · team size [NUMBER] · AI tools we allow [LIST, WITH PAID OR FREE PLAN] · tools staff use or want that I have not decided on [LIST, or NONE] · the kinds of information we handle [CUSTOMER DATA, PAYMENT DETAILS, HEALTH OR LEGAL INFORMATION, CONTRACTS, PRICING, SOURCE CODE]
Rules we already have [PRIVACY POLICY, CLIENT CONTRACTS, INDUSTRY RULES, or NONE] · do we tell customers when AI was used [YES / NO / NOT DECIDED] · what worries me most [ONE LINE] · who approves tools and answers questions [ROLE]

Write:
1. Allowed uses: a list a staff member can act on
2. Do not paste: the kinds of information that stay out of AI tools, each with one example from my business
3. Tools: the ones we allow with their plans, the ones not decided yet, and the rule for adding one
4. Check before it goes out: which AI-assisted work a person reviews, and what "reviewed" means
5. Telling customers: our rule in one sentence (if I have not decided, write "to be decided" here and put the question in section 7)
6. When something goes wrong: how to report it, without blame, and the first three steps
7. To confirm: every legal, contract or vendor-terms point the policy depends on, listed for my lawyer or the vendor, and every decision I still have to make

Keep the whole policy to one page, under 500 words, so that staff read it. Recommend no vendors and cite no laws: where a law or a client contract may apply, name the topic and put it in section 7. What a tool does with pasted data depends on its current terms, so each tool's data handling is a question for section 7, not a stated fact.

Success means a new hire could read it once and know what they may paste, into which tool, and who to ask, and the thing that worries me most is covered by a rule.

Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up.

If a required input is missing, ask for it once before starting; otherwise proceed and label any assumption you made.

Frequently Asked Questions

What does the Small Business AI Usage Policy prompt do?

Write a one-page policy on which AI tools your staff may use, what may be pasted into them, and what a person must check before it goes out.

Which AI models is this prompt written for?

Claude, ChatGPT, Gemini and Copilot. Each one gets its own version up top, written the way that vendor says to prompt its own model. Pick the tab that matches yours.

Do I need a paid AI account to use this prompt?

No. This prompt is written to run on the free tier of Claude, ChatGPT, Gemini and Copilot. Paid tiers simply give you longer context windows and faster responses.

Can I customize this prompt for my business?

Yes. Any text inside square brackets is a placeholder you replace with your own business details, such as company name, audience, product or tone. You can also ask the AI to adjust format, length or style after the first output.

When was this prompt last checked?

The date is on each version up top. We check every prompt in full every month, and when a major new model lands we rewrite the prompt for it. One glance tells you how current it is before you paste.
