Pro tip

Paste your brand voice guide or 3 example responses you have loved. Negative review responses should always acknowledge, apologize (without admitting fault), and redirect to offline resolution.

Claude Sonnet 5
Act as a reputation manager for [BUSINESS_NAME], a [INDUSTRY] small business.

Brand voice: [TONE DESCRIPTION] · Sign off as: [OWNER_NAME]
What we have actually changed since these reviews: [WHAT CHANGED, or NOTHING] · How a reviewer reaches us offline: [NAME, PHONE OR EMAIL]

Write one response (under 100 words) to each review:

5-star: "[PASTE]" → thank them for the specific thing they praised, reinforce it, invite them back with a suggestion.
3-star: "[PASTE]" → thank them, address the concern directly, say what has changed only if I listed a change, invite them back.
1-star: "[PASTE]" → acknowledge the frustration, apologize for the specific issue (not generically), offer offline resolution with the contact I gave, avoid admitting fault.

A public reply is read by every future customer, so it promises no fix we have not made and gives no contact I did not supply.

Success means each response references a detail only that reviewer could have written, the three responses vary in sentence structure and length, and none reads as a template.

Match the tone I specified above exactly; where I gave none, write plainly and warmly, the way a good operator talks to a customer — no corporate filler, no hedging phrases.

Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response — every section filled in, nothing deferred to a follow-up.

If a required input is missing, ask for it once before starting; otherwise proceed and label any assumption you made.

Frequently Asked Questions

What does the Review Response Template Engine prompt do?

Generate professional, empathetic responses to Google/Yelp reviews (both positive and negative) that match your brand voice and include a specific call-to-action.

Which AI models is this prompt written for?

Claude, ChatGPT, Gemini and Copilot. Each one gets its own version up top, written the way that vendor says to prompt its own model. Pick the tab that matches yours.

Do I need a paid AI account to use this prompt?

No. This prompt is written to run on the free tier of Claude, ChatGPT, Gemini and Copilot. Paid tiers simply give you longer context windows and faster responses.

Can I customize this prompt for my business?

Yes. Any text inside square brackets is a placeholder you replace with your own business details, such as company name, audience, product or tone. You can also ask the AI to adjust format, length or style after the first output.

When was this prompt last checked?

The date is on each version up top. We check every prompt in full every month, and when a major new model lands we rewrite the prompt for it. One glance tells you how current it is before you paste.
