Employee Offer Letter

Write a plain-English offer letter from the terms you have agreed: role, pay, start date, benefits and conditions. Terms you have not settled are marked TO CONFIRM, and the points a lawyer or HR adviser should check are listed.

Pro tip

Settle every term before you run it. Anything you mark UNSURE shows up as TO CONFIRM in the letter, which is better than a typical figure you never agreed to. Have a lawyer or HR adviser read it before it goes out.

Act as an HR generalist. Write an offer letter for a new employee, in plain English, from the terms below.

Candidate [NAME] · role [JOB TITLE] · reports to [NAME, TITLE] · start date [DATE] · pay [AMOUNT PER YEAR OR HOUR] · pay schedule [WEEKLY / BIWEEKLY / MONTHLY] · status [FULL-TIME / PART-TIME] · overtime status, US only [EXEMPT / NON-EXEMPT / UNSURE] · work location [ADDRESS / REMOTE / HYBRID] · hours [SCHEDULE]
Benefits we actually offer [LIST, or NONE] · bonus or commission [TERMS, or NONE] · paid time off [DAYS, or NONE] · conditions the offer depends on [BACKGROUND CHECK, REFERENCES, RIGHT TO WORK, or NONE] · how to accept [SIGN AND RETURN / REPLY BY EMAIL] · reply by [DATE] · who signs [NAME, TITLE] · company [NAME, STATE OR COUNTRY] · tone [DESCRIBE]

Write:
1. The letter: a welcome sentence, then role, start date, pay, schedule, benefits, conditions, how to accept and by when, and signature lines for both of us
2. A short email to send with it, under 80 words
3. For a lawyer or HR adviser to check before it goes out: employment status wording, overtime classification, bonus terms, and anything the law where we operate may require in an offer, listed as questions with no statement of what the law requires

Use only the terms I gave. A term I marked UNSURE or have not settled appears in the letter as "TO CONFIRM" and in a list at the end, not as a typical figure. The letter promises no fixed length of employment and no pay beyond what I wrote, because an offer letter can be read later as a contract.

Success means every figure in the letter matches my inputs, nothing is offered that I did not list, and the candidate can tell exactly how to accept and by when.

Match the tone I specified above exactly; where I gave none, write plainly and warmly, the way a good operator talks to a customer: no corporate filler, no hedging phrases.

Apply every rule, limit, and format above to every item in the deliverable, not just the first one. Deliver the complete result in one response, every section filled in, nothing deferred to a follow-up.

If a required input is missing, ask for it once before starting; otherwise proceed and label any assumption you made.
